Staff Rules & Guidelines

As a staff member of this online community, you are expected to uphold high standards of professionalism, engagement, and accountability. The following rules ensure that our community runs smoothly and that all members receive the support they need. Failure to follow these guidelines may result in warnings, demotion, or removal from staff.


1. General Conduct & Responsibilities

  1. Be Active & Engaged – Staff must regularly check in, participate in discussions, assist with support, and contribute to ongoing projects.
  2. Respect & Professionalism – Treat all community members and staff with respect. Toxic behavior, favoritism, or power abuse will not be tolerated.
  3. Availability & Communication – Staff should be responsive during their assigned hours and notify the team if they will be unavailable.
  4. Lead by Example – Staff members must follow all community rules and enforce them fairly.
  5. No Personal Gain – Staff cannot use their position for personal benefits (e.g., prioritizing friends' tickets, taking bribes, or unfairly banning members).

2. Community Support Rules

  1. Prompt Assistance – All member inquiries should be responded to within a reasonable time frame (e.g., 10-15 minutes for live chat/tickets).
  2. Accurate Information – Provide correct answers; if unsure, escalate the issue instead of guessing.
  3. No Ignoring Requests – If a staff member is online, they must assist with pending issues.
  4. Follow Community Guidelines – Enforce rules fairly and consistently. Any disciplinary action must follow community protocols.
  5. Conflict Resolution – Remain neutral in disputes, attempt peaceful resolutions, and escalate issues if necessary.

3. Staff Role Expectations

Each staff member has defined responsibilities. While flexibility is encouraged, primary duties must be fulfilled:

Moderators

  • Enforce community guidelines.
  • Handle user reports and ensure discussions remain appropriate.
  • De-escalate conflicts professionally.

Support Team

  • Provide fast and effective assistance to community members.
  • Handle tickets, disputes, and user issues.
  • Maintain a friendly and helpful attitude.

Developers/Project Team

  • Work on new features, bug fixes, and platform improvements.
  • Communicate progress and meet deadlines.
  • Report challenges and suggest solutions.

Admins/Managers

  • Oversee staff, ensure everyone is fulfilling their duties.
  • Handle serious escalations, disputes, and rule enforcement.
  • Ensure internal processes are running efficiently.
Rule: Staff must focus on their roles but be willing to assist in other areas when necessary.


4. Activity & Availability

  1. Minimum Activity Requirement – Staff must be active for a set number of hours per week (to be defined based on role).
  2. Away Notifications – If a staff member will be inactive for an extended period, they must notify the team.
  3. Regular Check-Ins – Staff should engage in internal discussions, attend meetings (if any), and provide status updates.
  4. Prolonged Inactivity – Unexplained absences may lead to demotion or removal.

5. Project Development & Productivity

  1. Task Assignments – Every team member must complete assigned tasks on time.
  2. Progress Tracking – Regular updates should be provided in a staff-only space.
  3. No Ghosting Projects – If a team member fails to contribute without reason, they may be reassigned or removed.
  4. Deadlines Must Be Met – Delays should be communicated in advance with a solution.

6. Confidentiality & Data Protection

  1. Internal Discussions Stay Private – No leaking staff chats, reports, or sensitive community information.
  2. User Privacy Must Be Respected – Do not misuse or share user data.
  3. No Unauthorized Access – Only access information relevant to your role.
  4. Strict Consequences for Leaks – Any staff member caught leaking information or misusing data will be immediately removed and possibly banned.

7. Performance & Accountability

  1. Three-Strike System:
  • First violation: Verbal warning.
  • Second violation: Written warning and possible role adjustment.
  • Third violation: Demotion or removal from staff.
  1. Monthly Evaluations – Staff performance will be reviewed based on activity levels, support quality, and contributions.
  2. Incentives & Consequences:
  • Active and helpful staff may receive promotions, perks, or bonuses.
  • Neglecting duties or causing issues will lead to penalties, including removal.
